Privacy Policy

Solace is operated by Solve 4 U, a sole proprietorship based in Tennessee, United States ("Solace", "we", "us"). This policy explains what we collect when you use solace.solve4u.io and the Solace application, why we collect it, and the choices you have. Questions go to will@solve4u.io.
1. Information we collect
- Account information. Your name, email address and authentication details when you create an account or sign in with a third-party identity provider.
- Workspace content. Organizations, clients, projects, rates, notes, expenses, receipts, invoices and settings you create in the app.
- Connected service data. When you connect GitHub, Google Calendar, Slack or a meeting-notes tool, we retrieve and store the records you authorize — commit metadata, calendar events, messages and transcripts from the sources you select — so the app can measure and evidence your work.
- Payment information. Subscription payments are handled by our payment processor. We receive plan status and basic billing details; we never receive or store your full card number.
- Technical data. Log data, device and browser information, IP address and error reports generated when you use the service.
2. How we use information
We use information to provide and operate Solace: to authenticate you, sync the sources you connect, calculate hours, generate summaries and invoices, produce billing packages and public billing links you choose to share, process subscription payments, respond to support requests, keep the service secure, and improve reliability and features. We do not use your workspace content for advertising and we do not sell personal information.
3. Automated processing and AI
Solace uses third-party AI models to generate daily and weekly summaries, categorize activity, extract data from receipts you upload, and answer questions about your own indexed content. Only the content needed for the requested task is sent to the model provider. These summaries are drafts for your review, not decisions with legal effect, and you remain responsible for what you send to your clients.
4. Sharing and service providers
We share information only with service providers acting on our behalf, and only as needed to run the service: cloud hosting and database providers, authentication providers, the AI model provider used for summaries and search, our payment processor, and email delivery. We may also disclose information when required by law, to protect rights and safety, or in connection with a merger or sale of the business, in which case we will notify you.
When you enable a public billing link, the billing package you publish becomes accessible to anyone with that link (and its password, if you set one). You control what is published and can disable the link at any time.
5. Retention
We keep your workspace content while your account is active and for as long as needed to provide the service, resolve disputes and meet legal obligations. You can delete projects and records in the app, and you can request deletion of your account and associated data by emailing us. Backups are purged on a rolling schedule.
6. Security
Data is transmitted over encrypted connections and stored with access controls that restrict each organization's data to its own members. Credentials for connected services are stored encrypted and used only to perform syncs you authorize. No system is perfectly secure, and we cannot guarantee absolute security.
7. Your rights
Depending on where you live — including under the Tennessee Information Protection Act and comparable state privacy laws — you may have the right to confirm whether we process your personal information, access a copy of it, correct inaccuracies, delete it, obtain it in a portable format, and opt out of targeted advertising, sale of personal information, or profiling with legal effects. We do not sell personal information, do not use it for targeted advertising, and do not engage in that kind of profiling.
To exercise a right, email will@solve4u.io. We will respond within 45 days and may extend once when reasonably necessary. If we decline, you may appeal by replying to our response, and we will explain the outcome within 60 days.
8. Children
Solace is a business tool and is not directed to children under 13. We do not knowingly collect information from children under 13, and we delete it if we learn we have.
9. International users
Solace is operated from the United States and your information is processed there. If you use the service from another country, you consent to that processing.
10. Changes
We may update this policy. When we do, we will change the "last updated" date above and, for material changes, notify account holders by email or in the app. Continued use after an update means you accept the revised policy.
